Promoting from within can be a great career progression incentive – it’s incredibly motivating for an employee to know that if they meet all their targets they are in line for a promotion and often means people stay at the company longer.

But… it can be tricky to announce a promotion to the wider team who might feel they’ve been overlooked for their colleague’s new job title, particularly for members of staff who have seen multiple team promotions but not received one themselves. Resentment can breed all too easily and teams can fall apart if this isn’t dealt with swiftly and suitable.

As the manager, it is your job to ensure that any promotions within a team – especially if an employee is being promoted to a position where they manage people who were previously their peers – are handled with sensitivity, respect and transparency.

Here are my three pieces of advice for announcing promotions without rocking the boat:

Plan ahead – don’t wait for things to fall apart

When evaluating all your candidates for the promotion, look at the team relationships closely – does your preferred candidate have a close friendship with any of their peers that might be affected? Not to say that you shouldn’t promote someone who has a friend on the team, but you both need to be prepared to deal with the potential fallout. Or do they already take the lead on team projects, in which case the wider team may already have guessed they are in line for a promotion?

Take some time to think about how you will make the announcement – you know your team best and should be able to decide whether anyone needs to be given a heads up in private instead of reading it in a group email. Brief the successful candidate on how you envision them making the transition to their new role and offer them your support before you make the announcement. They are likely to find the shift challenging and will need you in their corner to provide advice, guidance and support, particularly if they have to deal with team resentment.

Transparency and communication are key

Once you’ve made your decision and informed the successful candidate, inform the unsuccessful team members face-to-face. Be honest but constructive with them about why they weren’t selected and give praise where it’s due if you think they have potential for a promotion in the coming months or year. Judge how long you need to wait to make an announcement based on their reactions – if anyone is really devastated it can be helpful to give them a day or two to settle.

Pay attention to the team – they might need more support than usual

This means the newly promoted employee as well as the wider team, who might take some time to get used to the change. If you don’t already have them, organise regular catch-ups to see how they’re finding the transition and uncover any challenges they’re facing. Be patient with frustrated members of staff but try and remember the reasons you chose the successful candidate and stick by your decision.

If anyone’s engagement or enthusiasm takes a dive, have an honest chat with them about the shift in their attitude and performance. It’s understandable they may feel a bit deflated, but if their disappointment has eroded their enthusiasm for the job you need to address this early on. Stay positive in your feedback to them and do what you can to motivate them on an individual level.

Accept that some may choose to move on though – this is a natural reaction and can be a positive move for the employee and a chance to bring fresh talent to the team.

If you’re lucky enough to have a mailing list, then you know the importance of using it to spur your readers into action. If you have a mailing list and haven’t really used it, a book release is a great time to do so.

Mailing lists don’t have to be huge. The days of millions of mailing list members are gone.

Sure, it’s great if you have those kinds of numbers, but they may not be all they’re cracked up to be. A lot of authors with that many names wind up with email addresses that no longer work and/or with very low open rates of the emails they send.

A mailing list with a healthy open rate of 20% or so, regardless of its size, is really great.

So let’s say you have a book release coming up in a few months. How can you maximize your mailing list? And when is it too early to start pushing your new book message?

Mailing List Matters

First off, if you have a mailing list that you haven’t touched in a while, it’s a good idea to warm up your list. Start sending newsletters to your list on a regular basis – let’s say once a month.

If you’re already doing this, great! And also, now it’s time to up the ante.

Let folks know you have a book coming out, even if it’s super early and the book isn’t up for pre-order. A “just letting you know” message keeps readers informed, let’s them know you’re busy creating new books, and gives them something to look forward to!

Once you decide which promos will work best for you and your book launch, it’s time to think about how you’ll schedule them.

Some strategies work better closer to publication dates. For example, BOGO promos do well if you keep them within two weeks to 10 days of your book’s “go live” date on Amazon.

Other pieces of this can be started earlier. For example, if you’re getting cover feedback, you’ll want to do that before you’ve started working with a designer.

The other pieces can be sprinkled throughout. But keep in mind that if you need your readers to help spread your launch message, you’re going to want to give that more time.

Pushing the Pre-Order

One thing I love doing with any of my new releases is to send news to my mailing list about pre-order options. Pre-order is an exciting time, and it’s easy to send a quick email that captures your enthusiasm even as it asks your subscribers to buy a copy of your book early.

Often, I’ll organize some kind of offer – whether it’s Buy One/Get One or Buy One/Give one – and push that out to my list. This encourages early buying and helps to boost the pre-order numbers.

When you’re thinking about how to announce a book through your email list, a pre-order promotion is also an easy way make your subscribers feel extra special for a short period of time. I like shorter pre-orders – two weeks at a minimum, 30 days at the most.

Book Release Related Contests

You can do lots of fun contests around a book launch – depending on your book topic and content.

Contests can be super simple: for example, ask your subscribers their favorite place to read a book. One of our clients created a special Pinterest board and invited readers to share pictures: it was a big hit!

You could also do a multi-author book bundle giveaway. In this strategy, you invite other authors to share their new releases and do a giveaway to one (or more!) lucky reader(s).

The great thing about this particular promotion is that when you put together the squad to pull this off, you’ll also invite the participating authors to share the giveaway with their lists, thereby pulling in their readers, too.

Multi-author book promotions are fun not only because you can expand your reach, but also because a large bundle of free books is super enticing to readers. Your newsletter followers will love it, and many may share the promo information with others, too!

Incorporating Social Media

One of the biggest bonuses of doing these kinds of layered announcements to your email list is that it also creates great social media content.

Sensitivity is the key when announcing a job promotion. Employees who didn’t receive the promotion might feel upset or resentful and other employees might be concerned about the change in management. It’s important to take their feelings into consideration when you make your announcement. Plan what you’ll say and how you’ll say it before you schedule a meeting or write an email regarding the promotion.

Inform Other Candidates

Informing the other candidates requires a personal touch. Schedule individual meetings with the employees who applied for the position and tell them that they did not receive the promotion. Explain that the decision was difficult and each candidate’s qualifications, skills, education and experience were carefully considered. Be prepared to explain why an employee didn’t receive a promotion. For example, you might mention that the employee doesn’t have experience in project management or in supervising a large department. Tell candidates that you know that they are disappointed and offer suggestions regarding what they can do to improve their skills or acquire new skills that will help them get a future promotion.

Hold a Departmental Meeting

Announce the promotion to the employees who will report to the newly promoted employee next. Ask her to join you at the meeting. Explain the reasons why the person was promoted and discuss how you think she can help the department be successful. Explain how the new reporting structure will work and when the promotion will take effect. Ask the newly promoted employee to speak to the group and tell them what she hopes to accomplish in her new position.

Write an Announcement

Prepare a formal announcement regarding the promotion. The information you include in the announcement can also serve as source material when you write a press release regarding the promotion. Congratulate the employee and mention her new title and new department, if applicable. Note when she joined the company and list the various roles she has held. Include a brief outline of her new duties and any information that will help staff understand her new role. Mention when the promotion takes effect and include information regarding how to contact the employee if she has a new office or telephone extension.

Inform the Entire Company

Let the rest of the company know about the promotion. Different companies announce promotions in different ways. Find out if there is a particular protocol regarding promotion announcements. If your company announces promotions through email or memo, obtain the distribution or email list and send the formal announcement to employees. If your company announces promotions on the company intranet or in a newsletter, contact the employee who manages intranet content or edits the newsletter and submit the formal announcement.

I googled the difference between the two as I don’t want this profile update to appear as starting a new position, rather it should appear as a promotion. It seems like there are conflicting ways stated which have left me confused. I wish there was some type of preview option in LinkedIn that can tell us how a profile change will look like.

  • Overdo it. Avoid too much or exaggerated praise. This might unintentionally come off as sarcastic or ingratiating in an email.
  • Lie. Most people are bad liars but are really good at telling when someone else is insincere. If you don’t think they’re qualified for the job, don’t send a note. If you’re sincere in your congratulations, focus on the positives, but don’t stretch the truth. For example, when congratulating your super-creative friend who’s bad with minor details, focus on his vision for the big picture.
