Tip 1: Check Email in Junk Email Folder

Sometimes, it might happen that MS Outlook marks the email as a spam and move it directly to the junk email folder. Therefore, if the email is sent many times from a particular address and it is not received by the user in the inbox, then it has been sent to Junk Email Folder. Hence, the very first step is to check the email in this folder and confirm that sender is marked as spam or not.

Tip 2: Verify the Integration of Anti-spam Tool

Another possible reason that a user is not receiving emails from a specific sender is that a virus scanner or an anti-spam program is integrated with Outlook. Now, to make sure that virus scanner or anti-virus software is causing an issue, turn off it for some time and then ask the sender to send the email again. If it works perfectly, then the problem is with the anti-spam tool that a user has installed. Therefore, it is advised to disable the virus scanner, which is integrated with Outlook.

Tip 3: Confirm the Email Arrival on Other Devices

Sometimes users configured the same account on multiple devices, for example, laptop, tablet, smartphone etc. So, a user is suggested to make sure that the email message is received by all other devices or not. If it is received in the inbox folder of the other devices, then it is very much clear that issue is associated with a current profile. Therefore, to resolve such an error, creating a new profile is always helpful. Moreover, if a user is using the POP3 account, then always enable leave a copy on the server option. This will allow all other devices to successfully collect the emails.

Tip 4: Check Email Arrival in the Other Folders

In some cases, there are multiple rules applied while sending or receiving any email due to which some emails are moved to a different folder. Thus, a user must check all subfolders to make sure that message of that address is not moved to any other folder. A user can delete all rules and check if the problem continues.

Tip 5: Verify the List of Blocked Senders

Another way to troubleshoot this “Outlook 2010 Not Receiving Emails from Specific Sender” error is to always ensure that a user has not moved the sender to the Blocked Sender List. In order to confirm that the email address is not in Block sender list out, follow the steps given below:

Outlook 2007:

  1. Go to the Tools menu and click on Options.
  2. Now, go to the Preference tab >>Junk E-mail tab.
  3. After that, click on the Blocked Senders tab.

Outlook 2010 and 2013:

  1. First of all, go to the Home tab >> Click on the Junk option.
  2. After that, click on the Junk E-mail Options….
  3. Then, click on the Blocked Senders tab.
  4. Here, you can check if the email address is added to the block list or not. If yes, choose it and click on the Remove button.

Tip 6: Ask Sender to Confirm the Email in Outbox

It might also possible that the size of the message is large and the server timeout is small, in such cases, there are chances that the message remains stuck in the outbox and does not receive by the desired receiver. Tip 7: Advice Sender to Verify the NDR Mail

There are chances that a user is sending an email message to a wrong or incorrect email address. In such situations, email is bounced back and a Non-Delivery Report (NDR) is received by the sender. However, these NDR messages contain lots of additional information that will make users understand, why the message wasn’t delivered such as:

  • Mailbox Full: It means that the sender mailbox is almost full due to which no new message is received.
  • Incorrect Email Address: If the email address entered by the sender is incorrect, then also email is bounced back.
  • The Server on the Black List: It might also be possible that the sending mail server is added to the blacklist.
  • Message is Delayed: This shows network issues, DNS configuration problem, or an incorrect domain name is entered.

The above-discussed tips will definitely solve the Outlook 2010 not receiving emails from specific sender. However, after trying these tips & tricks, users still encounter the same error, then, it is advised to use some third-party tool to solve the issue permanently.

Outlook on the web (formerly known as Outlook Web App or Outlook Web Access) is a browser-based email client. Outlook on the web lets you access your Microsoft Exchange Server mailbox from almost any web browser.

To set up Outlook Web App to access Exchange Server, follow these steps:

Ask your network administrator or local HelpDesk to see whether your account has Outlook Web App enabled. If Outlook Web App is enabled, ask the administrator or HelpDesk for the address (URL) of Outlook Web App. Usually, the address is in the following form:

Normally, you can find the Outlook Web App URL by clicking File->Info in Outlook.

This feature is available on Outlook 2010 and Outlook 2013. It depends on the server side settings.

How to access outlook on the web

Open a web browser such as Internet Explorer, type the Outlook Web App address in the address bar, and then press Enter.

If you receive the following certificate warning page, click Continue to this website (not recommended) to continue to open Outlook Web App.

There is a problem with this website’s security certificate. The security certificate presented by this website was not issued by a trusted certificate authority. Security certificate problems may indicate an attempt to fool you or intercept any data you send to the server. We recommend that you close this webpage and do not continue to this website. How to access outlook on the web

This certificate warning is displayed if an incorrect certificate is being used in the Exchange server. Report this issue to the network administrator.

On the Outlook Web App sign-in page, type your user name and password, and then click Sign in. The user name must be in one of the following formats:

In most cases, the user name and password are the logon name and password that you use to log on to your organization’s network or computer.

If you don’t know your Outlook Web App user name and password, you should contact the network administrator.

A shared mailbox makes it easy for a group of people to monitor and send email from a public email address, like [email protected] When a person in the group replies to a message sent to the shared mailbox, the reply appears to come from the shared address, not from the individual person. You can also use the shared mailbox as a shared team calendar.

How to access outlook on the web

Tip: Before you can use a shared mailbox, the Microsoft 365 admin for your organization has to create it and add you as a member. For more information, ask your admin to see Create a shared mailbox, which describes what the admin needs to do.

If you want to monitor the email from your primary mailbox and the shared mailbox at the same time, use this method. After you complete this task, the shared mailbox and its folders are displayed in the left navigation pane each time you open Outlook on the web.

Sign in to your account in Outlook on the web.

For Exchange Online mailboxes, right-click Folders in the left navigation pane, and then choose Add shared folder. For Exchange on-premises mailboxes, right-click the name of your primary mailbox (such as Molly Dempsey) in the left navigation pane, and then choose Add shared folder.

In the Add shared folder dialog box, type the name or email address of someone who has shared a mailbox with you, and then click Add. Or, type the name of the shared mailbox you are a member of, such as [email protected]

The shared mailbox displays in your Folder list in Outlook on the web. You can expand or collapse the shared mailbox folders as you can with your primary mailbox. You also can remove the shared mailbox from your Folder list. To remove it, right-click the shared mailbox, and then click Remove shared folder.

To receive notifications of new messages in the Inbox of a shared mailbox, you must open the shared mailbox in a separate browser window.

Use this method if you want to view and manage the email for the shared mailbox in its own browser window. This method also lets you receive notifications of new items in the Inbox of the shared mailbox.

Sign in to your account in Outlook on the web.

On the Outlook on the web navigation bar, click your name. A list appears.

Click Open another mailbox.

Type the email address of the other mailbox that you want to open, and then click Open. Another Outlook on the web session opens in a separate window, allowing access to the other mailbox.

Tip: If you mistype the email address of the mailbox, the result is “No match was found”. Try typing the email address again.

Choose New mail above the folder list. A new message form opens in the reading pane.

At the top of the message, choose > Show From.

How to access outlook on the web

This option shows you that the people who receive the email message will see it comes from the shared mailbox and not from your own email account.

The first time you use the shared mailbox, you need to add the address to the options available in the From drop-down list:

Right-click the From address and choose Remove.

Type the shared address. The next time you reply from the shared mailbox, its address will appear as an option in the From drop-down list.

To add recipients, type the name of anyone who is in your contacts folder or organization’s address list, or type the email address in the To or Cc box. The first time you enter a person’s name, Outlook on the web searches for that person’s address. In the future, the name is cached so it resolves quickly.

Type the message you want to send.

When your message is ready to go, click Send.

The first time you reply to a message sent to the shared mailbox, you need to add the shared address to the From drop-down box. Here’s how to do that:

Open Outlook on the web and go to your shared mailbox.

Open a message that was sent to the shared address.

Click Reply.

At the top of the message, choose > Show From.

How to access outlook on the web

Right-click the From address and choose Remove.

Type the shared address and send the message. The next time you reply from the shared mailbox, its address will appear as an option in the From drop-down list.

One of the great things about using a shared mailbox is that anyone who has access to the shared mailbox also has full access to the calendar. You can create, edit, and delete events in the calendar. Use the shared calendar just as you would use your own calendar. Here’s a short list of things you can do with the shared mailbox calendar:

Let your team know when you’re going on vacation or when you’ll be out of the office.

Create a team meeting.

Edit a calendar event that someone else created.

Cancel a meeting that someone else created.

To access the shared calendar, do the following:

Sign in to your mailbox using Outlook on the web, and then select Calendar.

Right-click Other Calendars, and then click Open calendar.

How to access outlook on the web

In From directory, search for the shared calendar you want to open. Select the shared mailbox you want to open, and then click Open.

The shared calendar displays in your Calendar folder list.

To access a shared mailbox on a mobile device, open your browser, sign in to Microsoft 365, and then go to Outlook on the web. From Outlook on the web, you can access the shared mailbox.

Only your Microsoft 365 admin has permissions to set up the ability to send automatic replies from a shared mailbox. For instructions, ask your admin to see Create a shared mailbox.

Administrators can use the Exchange admin center (EAC) or the Exchange Management Shell to enable or disable Outlook on the web access to a mailbox. By default, users can access their mailboxes by using Outlook on the web. When you disable Outlook on the web access to mailboxes, users can still access their mailboxes by using Outlook or other email clients.

Use the EAC to Enable or disable Outlook on the web access to a single mailbox

In the EAC, go to Recipients > Mailboxes.

In the list of mailboxes, find the mailbox that you want to modify. You can:

Scroll through the list of mailboxes.

Click Search and enter part of the user’s name, email address, or alias.

Click More options > Advanced search to find the mailbox.

Once you’ve found the mailbox that you want to modify, select it, and then click Edit .

On the mailbox properties page that opens, click Mailbox features.

In the Email Connectivity section, configure one of these settings:

If you see Outlook on the web: Enabled, click Disable to disable it, and then click Yes in the warning message that appears.

If you see Outlook on the web: Disabled, click Enable to enable it.

When you’re finished, click Save.

Use the Exchange Management Shell to enable or disable Outlook on the web access to a mailbox

To enable or disable Outlook on the web access to a single mailbox, use this syntax:

This example disables Outlook on the web access to the mailbox named Yan Li.

This example enables Outlook on the web access to the mailbox named Elly Nkya.

Enable or disable Outlook on the web access to multiple mailboxes

Use the EAC to enable or disable Outlook on the web access to multiple mailboxes

In the EAC, go to Recipients > Mailboxes.

In the list of mailboxes, find the mailboxes that you want to modify. You can:

Scroll through the list of mailboxes.

Click Search and enter part of the user’s name, email address, or alias.

Click More options > Advanced search to find the mailbox.

In the list of mailboxes, select multiple mailboxes of the same type (for example, User) from the list. For example:

Select a mailbox, hold down the Shift key, and select another mailbox that’s farther down in the list.

Hold down the CTRL key as you select each mailbox.

After you select multiple mailboxes of the same type, the title of the details pane changes to Bulk Edit.

In the details pane, scroll down to Outlook on the web, click Enable or Disable, and then click OK in the warning message that appears.

How to access outlook on the web

Use the Exchange Management Shell to enable or disable Outlook on the web access to multiple mailboxes

You can use the Get-Mailbox, Get-User or Get-Content cmdlets to identify the mailboxes that you want to modify. For example:

Use the OrganizationalUnit parameter to filter the mailboxes by organizational unit (OU).

Use the Filter parameter to create OPATH filters that identify the mailboxes. For more information, see Filterable Properties for the -Filter Parameter.

Use a text file to specify the mailboxes. The text file contains one mailbox (email address, name, or other unique identifier) on each line like this:

[email protected]
[email protected]
[email protected]

This example disables Outlook on the web access to all user mailboxes in the North AmericaFinance OU.

This example disables Outlook on the web access to all user mailboxes in the Engineering department in Washington state.

This example uses the text file C:My DocumentsAccounts.txt to disable Outlook on the web access to the specified mailboxes.

How do you know this worked?

To verify that you’ve successfully enabled or disabled Outlook on the web access to a mailbox, do any of these steps:

In the EAC, go to Recipients > Mailboxes > select the mailbox > click Edit > Mailbox features and verify the Outlook on the web value in the Email Connectivity section.

In the Exchange Management Shell, replace with the identity of the mailbox (for example, name, alias, or email address), and run this command:

Use the same filter that you used to identify the mailboxes, but use the Get-CasMailbox cmdlet instead of Set-CasMailbox. For example:

In the Exchange Management Shell, run this command to show all mailboxes where Outlook on the web access is disabled:

You can use the EAC or Exchange Online PowerShell to enable or disable Outlook on the web (formerly known as Outlook Web App) for a user mailbox. When Outlook on the web is enabled, a user can use Outlook on the web to send and receive email. When Outlook on the web is disabled, the mailbox will continue to receive email messages, and a user can access it to send and receive email by using a MAPI client, such as Microsoft Outlook, or with a POP or IMAP email client, assuming that the mailbox is enabled to support access by those clients.

Support for Outlook on the web and MAPI, POP3, and IMAP4 email clients is enabled by default when a user mailbox is created.

Use the new EAC to enable or disable Outlook on the web

In the new EAC, navigate to Recipients > Mailboxes.

In the list of user mailboxes, click the mailbox that you want to enable or disable Outlook on the web. A display pane is shown for the selected user mailbox.

Under Mailbox settings > Email apps, click the Manage email apps settings link.

In the Manage settings for email apps display pane, do one of the following.

To disable Outlook on the web, for the Outlook on the web option, when the button is Enabled, set to Disabled.

To enable Outlook on the web, for the Outlook on the web option, when the button is Disabled, set to Enabled.

Click Save to save your change. A message Email app settings updated successfully is displayed. Click Close to exit.

Use the Classic EAC to enable or disable Outlook on the web

In the Classic EAC, navigate to Recipients > Mailboxes.

In the list of user mailboxes, click the mailbox that you want to enable or disable Outlook on the web for, and then click Edit .

On the mailbox properties page, click Mailbox Features.

Under Email Connectivity, do one of the following:

  • To disable Outlook on the web, under Outlook Web App: Enabled, click Disable.

A warning appears asking if you’re sure you want to disable Outlook on the web. Click Yes.

  • To enable Outlook on the web, under Outlook Web App: Disabled, click Enable.

Click Save to save your changes.

You can enable and disable Outlook on the web for multiple user mailboxes by using the EAC bulk edit feature. For more information about how to do this, see the “Bulk edit user mailboxes” section in Manage user mailboxes.

How do you know it worked?

To verify that you’ve successfully enabled or disabled Outlook on the web for a user mailbox, do one of the following:

In the EAC, navigate to Recipients > Mailboxes, click the mailbox, and then click Edit .

On the mailbox properties page, click Mailbox Features.

Under Email Connectivity, verify whether Outlook on the web is enabled or disabled.

Use Exchange Online PowerShell to enable or disable Outlook on the web

This example disables Outlook on the web for the mailbox of Yan Li.

This example enables Outlook on the web for the mailbox of Elly Nkya.

How do you know this worked?

To verify that you’ve successfully enabled or disabled Outlook on the web for a user mailbox, do one of the following:

Run the following command in Exchange Online PowerShell.

If Outlook on the web is enabled, the value for the OWAEnabled property is True . If Outlook on the web is disabled, the value is False .

After you create an Outlook on the web mailbox policy, you can configure a variety of options to control the features available to users in Outlook on the web (formerly known as Outlook Web App). For example, you can enable or disable Inbox rules or create a list of allowed file types for attachments.

Use the EAC to view or configure Outlook on the web mailbox policies

In the EAC, go to Permissions > Outlook Web App policies and select the policy that you want to view or configure.

The Details pane show the enabled features in the policy. To see more information, click Edit . In the properties window that opens you can view and configure the following settings:

On the General tab, you can view and edit the name of the policy.

On the Features tab, use the check boxes to enable or disable features. By default, the most common features are displayed. To see all features that can be enabled or disabled, click More options.

Note: You can configure settings for individual users by using the Set-CASMailbox cmdlet in Exchange Online PowerShell.

  • On the File Access tab, use the Direct file access check boxes to configure the file access and viewing options for users. File access lets a user open or view the contents of files attached to an email message.

File access can be controlled based on whether a user has signed in on a public or private computer. The option for users to select private computer access or public computer access is available only when you’re using forms-based authentication. All other forms of authentication default to private computer access.

  • On the Offline access tab, use the option buttons to configure offline access availability.

When you’re finished, click Save to update the policy.

Use Exchange Online PowerShell to modify Outlook on the web mailbox policies

To modify an Outlook on the web mailbox policy, use the following syntax:

This example enables calendar access in the default mailbox policy.

Use Exchange Online PowerShell to view Outlook on the web mailbox policies

To view an Outlook on the web mailbox policy, use the following syntax:

This example returns a summary list of all policies in the organization

This example retrieves detailed information for the policy named Executives.

To verify that you’ve successfully modified an Outlook on the web mailbox policy, do either of the following steps:

In the EAC, click Permissions > Outlook Web App Policies, select the policy, click Edit , and verify the properties of the policy.

In Exchange Online PowerShell, replace with the name of the policy, and run the following command to verify the settings:

Microsoft Outlook with a Microsoft 365 subscription is the latest version of Outlook. Previous versions include Outlook 2013, Outlook 2010, and Outlook 2007.

Call me old but I can’t seem to keep up anymore with what exactly is meant with Outlook, Outlook.com, Office, Office 365, Microsoft 365 and logging on with Outlook.com or Microsoft Accounts to Windows and Office.

What is what exactly and what do I use it for when?

Yes, this can become more than a little confusing for anybody sometimes; age doesn’t have much to do with it.

Although the similar naming makes a lot of sense for marketing purposes, for troubleshooting and looking up information it is quite a pain to find out if it indeed applies to you.

The Outlook brand

Basically, the “Outlook” brand stands for everything that focuses on email.

  • Outlook is the mail client application of the Microsoft Office suite.
  • Outlook.com is a free web based mail account (which used to be Hotmail).
  • Outlook on the Web App (aka OWA) is the web based mail client (interface) that is part of Microsoft Exchange Server, Outlook.com, and subscribers of Microsoft 365 for Business/Enterprise/Education and Exchange Online.

Then there are still some other mail clients within the Outlook brand:

  • Outlook for Mac
  • Outlook Mail app for Windows 10
  • Outlook Calendar app for Windows 10

Microsoft 365 for Home vs. Microsoft 365 for Business/Enterprise vs. Office 2019

The Office and Microsoft 365 brand generates quite some additional confusion as well as it can refer to the actual application, a subscription based license for use of the application or a subscription based service for hosted solutions of Microsoft Server products.

  • Office 2019 is currently the latest version of the Microsoft Office suite which you can purchase and install on your computer. There are several suites available.
    • Office Home & Student 2019
      This is the cheapest suite but doesn’t include Outlook.
    • Office Home & Business 2019
      Contains Word, Excel, PowerPoint and Outlook.
    • Office Standard 2019 and Office Professional Plus 2019
      Also include Outlook but are only available via Volume Licensing.

    Logging on with an Outlook.com or Microsoft Account

    In both Windows and Office, you can log on with a Microsoft Account as well. This allows you to use it in combination with cloud based services from Microsoft such as OneDrive. It then also stores several settings in the cloud so that these travel with you when you log on to another computer.

    All Outlook.com accounts are automatically also Microsoft Accounts but you can turn any other email address into an Microsoft Account as well via: https://signup.live.com.

    Signing up won’t turn that email address automatically into an Outlook.com account and you can still use that address as you always did. However, if you want to, you do have the option to use it with Outlook.com as well.

    So, you can logon to Windows with an Outlook.com account and logon to Office with an Outlook.com account but this doesn’t necessarily mean that you need to configure this account in Outlook itself as too. You can use Outlook with any other account that you own as well.

    Similarly, you can use your own email address to sign up for a Microsoft Account with which you then can log on to Windows and Office and use that address within Outlook as you always did or with any other account.

    Does anyone know if you can set a default browser for just one program? I’m working from home, and use Outlook for my work email and Edge for my work browsing. I don’t want to change my overall default browser (Firefox, where I have many bookmarks synced between my different devices), I just want the links in Outlook to open in Edge.

    I haven’t found a way to do this, and suspect it can’t be done, but thought I’d ask here in order to confirm my belief, or find the way to do what I want 🙂

    I manage to overcome this.
    I first change the Default program to Edge. Restart Outlook and it browse me to Edge.

    Then I change it to Firefox, restarted Outlook and now it opens in Firefox.

    I’ll see if restart my laptop will reset this.

    Brilliant! This works perfectly. I did try the above advice (set Firefox as default globally via Control Panel), but with my Windows 2007, Outlook 2013, pressing “Click here to view in browser” still sent me to Explorer.

    Windows 10 + Chrome: I envy the ones that figured that out. I had to do dig deep and ended up with a non-pro solution. I disabled the Internet Explorer 11 (under Windows’s Programs and Features -> Turn Windows features on or off). Yet, now “My” Outlook says it needs a program to open “.mht” files when I click on “open in browser”. Ok, easy. I associate the extention with it. -> Ouch! They say Chrome does not support that so I had to install an extention called IE Tab. After all that I need to click on “open in browser”, then click on “use Chrome to open .mht -> OK” and then to click on “IE Tab Icon” to reload the nonsence into an actual web page. LOL to that.

    01 I tried to change default browser-> I already have that. Geez, I grew up on Windows since 95
    02 I tried to change default program by file type -> Chrome doesn’t support .mht and W10 doesn’t associate it with it
    03 I tried to change default program by protocol -> It is set to Chrome, yet -> 02
    04 I tried to change defaults by app -> 02

    I bet registry change wouldn’t help. I also tried to use firefox but it seems it has the same issue with the .mht files. Other solution is to find an app in Windows Store but I guess none of us wants that.
